Privacy Policy

The short version
TableHuddle helps your crew plan board game nights. We collect what's needed to run that: your account, the crews and events you create, availability and votes, game collections, and if you connect it some Discord details to sync plans and RSVPs. We don't sell your personal data.
What we collect
- Account info: email address and a display name you choose.
- Profile (optional): a BoardGameGeek username for collection imports, and a Discord user id if you link your profile.
- Crew & event data: crews you're in, events, the dates you propose, your availability (in / maybe / out), and your ranked votes.
- Game collections: games you add by hand or import, used to build the shelf and plan suggestions.
- Plan data: generated table plans, who's teaching, snack lists.
- Discord sync data: when a crew owner connects Discord, we store the guild, channel, and message ids needed to post and update plan messages and RSVP buttons.
- Usage & analytics: basic analytics like page views to understand how the service is used and improve it.
Why we use it
To provide the service — show your crew the plan, sync Discord plans and RSVPs, keep the app secure, and make TableHuddle better. We only process data for these purposes.
How we share it
We don't sell personal data. We share it only as needed to run the service:
- Hosting & backend. The service runs on cloud hosting and a managed backend (subprocessors) that store and serve the data.
- Discord. When a crew owner connects Discord, plan summaries and RSVP actions are sent to and from Discord. That content is visible to the members of the Discord channel you chose.
- BoardGameGeek. When you import a collection, we look up game data from BoardGameGeek's public API; we send your BGG username to it, not your account data.
- Legal. We may disclose data if required by law or to protect the service and its users from harm.
Discord integration
Connecting Discord is optional and only a crew owner can do it. Once connected, plan summaries (and RSVP buttons) are posted to the Discord channel the owner selects. When someone presses Going / Maybe / Can't, that response syncs back into TableHuddle. If their Discord account is linked to a TableHuddle profile, it updates their real availability; otherwise it's stored as a Discord-only RSVP. Channel members can see the posted content. You can unlink Discord at any time.
Retention & deletion
We keep your data for as long as your account is active and as needed to run the crews and events you're part of. You can delete games, events, and crews where the app allows it, and you can delete your account to remove your profile. Some data may remain in backups for a limited time before being cleared.
Cookies & sessions
TableHuddle uses a local session token to keep you signed in. We don't use advertising cookies. Any analytics use minimal, privacy-respecting tracking.
Children's privacy
TableHuddle isn't directed at children under 13 (or under 16 where that applies). We don't knowingly collect personal data from children. If you believe a child has provided data, contact the operator so we can remove it.
Your rights
You can ask to access or delete the personal data we hold about you. Contact the site operator through TableHuddle and we'll help. Depending on where you live, you may have additional rights under local law.
International transfers
The service is hosted in the United States. If you use TableHuddle from elsewhere, your data is transferred to and stored in the US. By using the service, you consent to that transfer.
